Time tracking and site clock-in for civil crews

The SitesAI App's time tracking records who worked, on which site and for how long, for civil and earthmoving crews. A worker clocks in and out on their phone with a start and finish photo and the location of the tap, signs the shift, and a supervisor countersigns it. The office exports the approved hours as a timesheet report or a CSV file.

What does time tracking in the SitesAI App record?

  • Records start and finish times and breaks for each shift, with a start photo and a finish photo.
  • Stamps the location of the clock-in tap, with week numbering on the record.
  • Works with no signal: the tap is stored on the phone and sent when coverage returns, and the server applies the same rules it applies to a live tap.
  • Clocks a worker in from a QR or NFC tag on the site, or by geofence. A site's geofence clocking can be off, prompt or auto, and it only runs for members who have given recorded consent.
  • Takes two signatures: the worker signs the shift, then the supervisor countersigns it, with approval comments.
  • Flags a tap that breaks a rule (outside the geofence, outside the site's hours, overlapping another shift) instead of discarding it, so a person decides.
  • Exports a timesheet report and a CSV file, in summary or in detail.

How does clock-in work?

  1. Set up the site. Winning a job creates its site. Choose how the crew clocks in there: a tap in the app, a QR or NFC tag at the gate, or geofence clocking set to prompt or auto.
  2. Clock in on the phone. The worker picks the site, taps start and takes the start photo. The tap is stamped with the time and the location. With no signal it is queued on the phone and sent later.
  3. Clock out and sign. At knock-off the worker taps finish, takes the finish photo and signs the shift.
  4. Supervisor countersigns. The supervisor reviews the shift, corrects it or adds a comment if needed, and countersigns.
  5. Export the timesheet. The office exports the approved hours as a timesheet report or a CSV file, in summary or in detail.

Who uses it?

Operators and labourers clock in and out on their own phones. Supervisors review and countersign their crew's shifts. The owner or office manager exports the timesheets and answers the query when a head contractor asks about a particular day.

FAQ

Questions about time tracking and clock-in

Does clock-in work with no mobile signal?

Yes. With no connection the tap is stored on the phone and replayed to the server when coverage returns. The server decides what each tap means under the same rules as a live tap, and a retransmitted tap cannot create a second shift.

Does the SitesAI App track where workers are all day?

No. A clock-in records the location of that tap. Geofence clocking records the moment a worker enters a site and the moment they leave it, and nothing in between. It only runs for members who have given recorded consent, and that consent can be revoked.

Can someone clock in for another worker, or for yesterday?

Each tap carries the member and the company it was made under, and the server checks it again, so a shared phone cannot post another worker's shift. Queued taps are stamped as real instants, a time in the future is refused, and a tap more than 30 days old is rejected.

How do the hours get to payroll?

As a timesheet report or a CSV export. The SitesAI App has no accounting or payroll integration, so the approved hours go into whatever system you already use.
