Guides Running the job Field operations
Running a small civil crew from one app
How a 3–20 person earthworks contractor runs leads, jobs, shifts, dockets and compliance in the SitesAI App, with an AI assistant on the same records.

A small earthworks business runs on a handful of things: the leads you are chasing, the jobs you have won, who is on which site tomorrow, whether the dockets got signed, and whether everyone on site is inducted and their tickets are current. In most three-to-twenty person contractors those live in a phone, a diary, a spreadsheet and someone's memory.
The SitesAI App puts them in one place, and it is built around the way the work actually flows.
The lead is the job
A lead is a job moving through your pipeline: new, quoted, won or lost. Attach the quote, the contacts and the notes. When it reaches a won stage it becomes the active job, keeping everything commercial with it — the accepted quote, the scope of work and its variations, and the progress-claim reports. Nothing is re-entered.
The site is where it happens
Winning a job creates its site. The site carries the physical things: clock-in and clock-out, inductions, the documents people must hold to be there, and any subcontractors you have granted access. Staff the job from the job screen; the roster lands on the site.
Shifts, work types and dockets
Your services group the operation types you do — bulk excavation, detailed excavation, cart-away, compaction. Those are planned onto shifts and connected to a person, a machine or a subcontractor. As the crew works, entries are recorded against the shift and roll up to the contract's scope of work.
Dockets follow the same path. One docket per truck per day, signed on the phone, attached to the job. At claim time the signed dockets are already where they need to be.
Inductions, tickets and compliance
Every site can require documents: an induction, a licence, an insurance certificate. Members and subcontractors upload theirs once, with expiry dates. The compliance report answers the question a site manager asks every Monday — who is not compliant on what — before anyone rocks up without a ticket.
Guided flows for the jobs you repeat
A pre-start, a daily safety check, an incident report: these are procedures your people should follow the same way every time. In the app they are flows — an ordered list of shared SOP steps that walk a worker through the task on their phone, with photos and sign-offs captured as they go.
One menu, one app
There is no office version and field version to keep in sync. A worker opens the app to My shift and My flow; an estimator or manager sees the pipeline and the jobs. It runs on the web, iOS and Android.
An AI assistant that can read and write the same records
The SitesAI App has an MCP connector exposing 142 tools. Connect Claude, ChatGPT or another assistant and ask in plain words:
- "Which leads came in this month and which of them still have no quote?"
- "Who is rostered on the Ringwood site tomorrow, and did anyone not show up today?"
- "Which dockets from last week are still unsigned, and who was the operator on each?"
- "Whose licences and insurances expire in the next 30 days, and which sites are they short on?"
Write tools are explicit and scoped, so an assistant can log a call outcome or create a lead from a phone enquiry, but only through the same rules a user has.
What does the SitesAI App cost?
Up to 10 licences — a licence is an active team member or an active site — the whole app is free. Past 10, every licence in your pool is $5 a month, or $50 a year. There is no feature gating on the free tier. The details and the AI add-on are on the pricing page.
Price the job in SitesAI Estimate; run it in the SitesAI App. Same account, same company, from the estimate to the worksite.
Questions people ask
Is it really free?
Up to 10 licences — a licence is any active team member or site — every feature is included at no cost. Past 10, every licence in the pool is $5 a month. Details are on the pricing page.
Does it replace my accounting software?
No. Progress claims in the app are reports of what was done against the contract. Invoicing, payments and the ledger stay in your accounting system.
Can my AI assistant use it?
Yes. The SitesAI App has an MCP connector with 142 tools — leads, jobs, shifts, dockets, compliance and more — so Claude, ChatGPT or another assistant can answer questions and record work for you.
