SitesAI Features Digital dockets
SitesAI App · FeatureDigital dockets, signed on site
The SitesAI App's digital dockets replace the paper docket book for plant hire and earthmoving work. Each truck gets its own docket, the customer signs it on their own phone by scanning a QR code on the operator's phone, the lines freeze at the signature, and the signed docket comes out as a branded A4 PDF attached to the job.
What does a digital docket do?
- Keeps one docket per truck, so each docket is the record of a specific machine doing specific hours.
- Lets the customer sign on site on their own phone: the operator shows a QR code, the customer scans it, the docket opens on the customer's phone and they sign there.
- Freezes the docket's lines at the moment of signature, so a later edit cannot rewrite what was signed.
- Produces a branded A4 PDF of the signed docket.
- Attaches the docket to the job, next to the worktime records, the accepted quote, the scope of work and its variations.
- Lets a client sign from a one-time link with no account, or in their own customer portal login if they have one.
How does a docket get signed?
- Record the work. As the crew works, the entries for the shift are recorded in the app. While a docket is open its lines are those live entries.
- Show the QR code. The operator opens the docket on their phone and shows the QR code to the customer's person on site.
- The customer signs on their own phone. They scan the code, the docket opens on their phone and they sign it there. Nobody hands over a device.
- The lines freeze and the PDF comes out. At signature the lines are snapshotted and the docket is available as a branded A4 PDF.
- It is already on the job. The signed docket sits on the job, where the progress claim and your invoicing can pick it up.
Who uses it?
Truck drivers and plant operators raise and present the docket. The customer's supervisor or site representative signs it. The office uses the signed dockets when it prepares the claim or the invoice.

Guides that go deeper
- Plant hire dockets: from a paper book to a signed PDF. Why paper dockets cost you money, and how a digital docket works — one per truck, signed on site by the customer with a QR code, out as a branded A4 PDF.
- Give your client a login: the customer portal. A portal login lets a client see their jobs, accept quotes, sign dockets and do the prestart on hired plant. And nothing else at all.
This feature is part of the SitesAI App. Related features: Time tracking and clock-in, Quotes, variations and progress claims. All features.
Questions about digital dockets
Can the customer sign on their own phone?
Yes. They scan the QR code shown on the operator's phone and sign on their own device. The person who signed did so on their own screen, which is what you want if the docket is queried later.
What if there is no signal on site?
Take the signature when you have coverage: at the gate, in the ute or back at the yard. The docket is a record of the work, not a live feed.
Does a docket invoice the customer?
No. The SitesAI App has no invoicing, takes no payments and keeps no accounting ledger. It produces the signed docket and the PDF, and you invoice from the system you already use.
Why one docket per truck?
Because a docket that covers several trucks is the one that gets disputed. With four trucks carting on one site, four dockets each record one machine and its hours.
