Guided flows: digital SOPs and checklists

The SitesAI App's guided flows turn a standard operating procedure into a step-by-step walk-through on the worker's phone. You write each SOP once in a shared library, order SOPs into a process and assign it to a person or a role. Each step does real work as it is completed: it clocks the worker in, files a pre-start, attaches a photo or produces a signed docket.

What do guided flows do?

  • Keeps one shared library of SOPs. Edit an SOP once and every process that uses it changes.
  • Builds a process as an ordered list of SOPs, for example site sign-in, machine pre-start, toolbox talk, then the work.
  • Walks the worker through it one screen at a time, with photos and sign-offs captured as they go.
  • Uses steps that write records: clock in and out, pre-start, comments with photos and voice notes, file upload, use an item from stock, sign a docket, record an entry against a contract line, and induction.
  • Routes the worker with a decision step, which branches on their answer, and a continue step, which hands them into the next process.
  • Lets a worker go back a step or restart a round to fix a mistake.
  • Lets you offer a process to another company working on your site. It is cloned for them, and their crew walks it under their own login.
  • Lets an admin preview exactly what a given worker will see before assigning anything.

How do you set up a guided flow?

  1. Write the SOPs once. Put each procedure in the shared SOP library: the instruction, any checklist, and the type of step it is.
  2. Order them into a process. A process is an ordered list of SOPs from the library, such as a start of day on a civil site.
  3. Assign it. Assign the process to a member or to a role, or offer it to a subcontractor on one of your sites.
  4. The worker walks the flow. On their phone they see the step in front of them and nothing else, then the next one.
  5. The records are already made. At the end you have a started shift, a filed pre-start, a signed docket and photos on the right job, not a completed form.

Who uses it?

Owners and managers write the SOPs and build the processes. Operators, labourers and subcontractor crews walk the flows on their phones. Supervisors see the shifts, pre-starts and dockets the flows produce.

FAQ

Questions about guided flows

What is the difference between an SOP, a process and a flow?

An SOP is one procedure in a shared library. A process is an ordered list of SOPs. A flow is a worker walking that process on their phone, one step after the last.

Do the steps do anything, or do they just tick a box?

They do the thing. A clock-in step clocks the worker in, a docket step produces a signed docket, a pre-start step files the pre-start and an item step draws stock. The record is the evidence.

Is there a library of ready-made templates?

No. The SitesAI App has a shared SOP library that you build yourself. It has no public template gallery and no general form builder.

Can a subcontractor run my procedure?

Yes. A process can be offered to another company working on your site. It is cloned for them, so their crew walks your procedure on their own phones under their own login.
