Site compliance documents and inductions

The SitesAI App's site compliance tracks the tickets, licences, insurances and inductions a site requires, for your own crew and for subcontractors. Each site carries its own list of required documents, people and companies submit theirs with expiry dates, and one compliance report shows who is not compliant on what, right now.

What does site compliance cover?

  • Gives every person and every company a document wallet. A document belongs to its holder and is shared with the businesses that need to see it.
  • Lets each site carry its own requirements, each scoped to the company or to every member on the site.
  • Comes with shared document types (licence, certificate, insurance, SWMS, white card and induction certificate) and lets a company add its own.
  • Accepts or rejects each submission with a note, so a rejection says what to fix.
  • Shows documents expiring within 30 days on the dashboard and in the compliance report.
  • Locks a document while it is shared. An update is a renewal: a new version goes out and the approved version stays in your archive.
  • Runs site inductions on the phone, signed with a drawn signature and a typed name. Passing produces a certificate record and updates the worker's induction status on the site.
  • Gives a subcontractor a narrow view: only what is assigned to them, planned for them or offered to their company on that site.

How does it work on a site?

  1. List what the site needs. Add the site's document requirements: what the company must hold and what each member must hold.
  2. People submit from their wallet. Crew and subcontractors with access to the site see the documents it needs from them and submit their own. Supervisors and admins can upload on a worker's behalf.
  3. Review each submission. Accept it, or reject it with a note that says what is wrong.
  4. Read the compliance report. One screen shows who is not compliant on what, and the dashboard shows what expires in the next 30 days.
  5. Renew, do not overwrite. When a ticket is renewed the holder shares the new version. The version you approved stays in your archive as you approved it.

Who uses it?

Owners and admins set the site's requirements and review submissions. Supervisors can always see their direct reports' documents. Workers and subcontractors upload and share their own tickets, licences and insurances.

What does it cost?

FAQ

Questions about site compliance

Who owns a worker's licence in the SitesAI App?

The worker does. A document sits in its holder's wallet and is shared with a company. Someone who works for three businesses keeps one wallet and shares from it.

Can a subcontractor swap a document after it was approved?

No. While a share is live the document's content is locked. Updating it means creating a renewed version, and the version you approved stays in your archive.

Does it chase expiring documents automatically?

Documents inside a 30-day expiry window show on the dashboard and in the compliance report, so the chase is a screen you look at rather than a reminder you hope someone actioned.

Does the SitesAI App write my SWMS?

No. The app holds Safe Work Method Statements, inductions and SOPs and tracks who has done what. It does not write a SWMS or judge whether one is adequate.
